Your AI Architect · Operations
We architect the AI infrastructure inside your business — workflows, agents, and integrations inside the tools your team already uses. Delivered across construction, hospitality, real estate, and specialty operators, so every leader gets leverage instead of more overhead.

Who We've Built For
Every vertical has its own stack, its own cadence, and its own leverage points. Here's where we've built, where we're building, and the workflows we run in each one.
Bid to close-out
Case: Closet Systems Supply
Tighten the workflow from bid invite through close-out — without ripping out the tools your team already knows.
Workflows we build
Tools we integrate
Quote-to-cash, tightened
Case: Eclipse Glass Cleaning
Specialty cleaning — canopies, solar, high-reach, post-construction — has specialty pricing. We wire up the quote-to-cash stack so the margin doesn't disappear between the crew and the invoice.
Workflows we build
Tools we integrate
Answer every lead
Case: Closet Systems Supply
Answer every lead. Close more of them. Keep customers coming back — without adding headcount or hiring a dispatcher.

Scale the team, not the chaos
Rapidly growing REI firms outgrow their ops faster than they can hire. We assess the whole team and build the workflows that unlock the next phase.

Leases to landlords
Hawai'i property managers live in a thousand small fires a day. We build the automation that puts them out before the owner calls.

Listings to closings
Hawai'i real estate moves on relationships. The top agents don't do more — they build the systems that do more for them. We wire up the ops so every listing and lead gets the attention it deserves.

From booking to goodbye
Hawai'i hospitality operators run in a market where every guest is a future Yelp review. We build the back-office that keeps bookings, staff, and guest comms tight — so the owner can be present, not everywhere.

White-glove, systematized
Luxury service can't feel automated — but it also can't scale without systems. We build the back-office that keeps the experience bespoke while the operations run clean.

Tell Us About Your Tool Stack
Now that you've seen the industries we work in, check every tool your team actively uses. This tells us the integration surface before the audit call — and usually sharpens the opportunity backlog by 30–40%.
Meet Your AI Architect
Before this was a consulting practice, I was an operator. I ran a specialty contracting business in Hawai'i where I built my own AI-assisted bid workflow — plan-set parsing, takeoff, spec-check, and proposal generation. That one workflow took the work from 25 hours a week down to 5–10. Same bids going out, dramatically fewer hours going in.
That's the pattern I run for every Alaia Operations engagement. Not advisory slides about what's possible. Workflows that actually ship, inside the tools your team already uses, with your internal champion holding the hammer by the time we hand it off.
AI Architect & Founder, Alaia Advisory
AI consultant, builder, and ex-operator. Zak has worked with organizations from local small businesses to statewide education programs, helping them adopt AI with confidence. He designed the measurement tooling behind AI Visibility Architecture, built the methodology behind AI Operations Architecture, and runs Alaia with the same discipline he expects from client workflows.
The Shift
In most operating businesses, a meaningful slice of the team's week goes to the same repeatable work done the same way every time — proposals and bids rebuilt from scratch, status rollups stitched together from five tools, meeting prep done at 11pm, intake forms living in one person's head, recurring reports that take a day and get read in ten minutes.
That work is the single biggest opportunity for AI right now. The catch isn't the tech — it's getting leaders to adopt it and stick with it while still running the business.
We solve both. The build, and the adoption.
The Service
Three pieces. We handle all three so you don't have to coordinate a strategy firm, a dev shop, and an internal champion who doesn't exist yet.
We interview your leaders, walk your tools, and map where hours leak and dollars slip through. You leave with a prioritized backlog ranked by hours saved × dollar impact — not a 50-item wish list, the few that actually pass the filter.
We build Claude skills, agents, and automations inside the tools your team already uses — Gmail, Slack, HubSpot, Asana, Notion, QuickBooks, Google Drive, and more. No rip-and-replace. Human checkpoints on anything customer-facing or dollar-moving.
Your internal champion — a Chief of Staff, EA, Ops Lead, or technical second-in-command — owns every workflow we build. We pair with them through the build so they can maintain and extend without us. You graduate off us, not onto us.
How We Work
Every engagement follows the same four stages. You opt in after each one — no long commitments signed off a discovery call.
A discovery call. We map your workflows, tool stack, and where your leaders are losing time. You leave with an honest read on whether AI has enough surface area in your business to justify going deeper — or not. If it doesn't, we tell you.
We interview your leaders, score every automation candidate against hours saved × dollar impact × verification risk, and deliver a custom blueprint document. Same format you'd hand a contractor: what to build, in what order, with measurable outcomes. Blueprint is the decision point — most clients decide here whether to build with us, hand it to their dev team, or sit on it for a quarter.
We build the prioritized workflows end-to-end, paired with your internal champion so they learn the pattern. Each workflow lives in the tools you already use. Each has human checkpoints where it matters. Each has a measured before-and-after.
After the first builds ship, we can stay on as an ongoing architect — adding new workflows, tuning existing ones, keeping the stack current as models and tools evolve. Or we don't — some clients graduate off completely once their champion is running the library themselves.
Two Ways to Work With Us
Every engagement fits one of two shapes depending on your internal capacity and how hands-on you want to be. Built for operators, not AI tourists — both paths expect a real champion inside your business.
Strategy & Coaching
You're already fluent with AI tools. You don't need someone to ship the code — you need a partner who'll diagnose where the leverage is, hand you a blueprint, and coach your team through the build. We scope, we advise, we review. You execute.
Best for: Owners and operators with in-house technical capacity who want Alaia as a strategic force-multiplier, not a dev shop.
Done-For-You Operations
You don't want to touch the tools. You want someone to audit the back-office, build the workflows, integrate the systems, and keep it all running. We run the build; you run the business. Quarterly check-ins to keep the roadmap honest.
Best for: Business owners who want to hand off the admin and ops layer completely and get their week back.
How Engagements Shape Up
Every engagement starts with a free Workflow Audit. From there, the Blueprint is a fixed fee delivered in 2–3 weeks — a complete, developer-ready plan you own whether or not you build with us.
Builds are quoted per workflow based on scope, complexity, and the integrations involved. Most single workflows fit inside a few weeks of work. Multi-workflow programs are scoped as a package. You see the price and the measurable outcome before you commit.
Ongoing maintenance is optional and monthly.
Common Questions
Get Started
No deck. No hard pitch. You walk through your team and tools, we tell you honestly whether there's enough repeatable work to justify building — and if so, what to build first. If there isn't, we say so.
